ACC Curricular Review Toolkit
This page provides a toolkit for ACC and its subcommittees, as well as college curriculum committees, to clarify curricular review processes. Faculty members are encouraged to use it as a guide as they develop and submit proposals via Curriculum to avoid common pitfalls during curricular review.
Checklists and Common Mistakes by Proposal Type
Checklist
- The rationale clearly explains all changes and why they are being made.
- Required fields are completed as expected.
- If needed, collegial communication is clearly articulated in the required field or in attached documentation.
- Proposals follow ACC-approved policy where appropriate.
- Proposals have been routed through the appropriate workflow prior to ACC approval. The Catalog and Curriculum Specialist monitors this.
Common Mistakes
- The rationale doesn't match what is proposed in the proposal. Most commonly, it may be missing details in a course or program revision proposal.
- Collegial communication questions have "in progress" selected instead of "yes” when they reach ACC review. This should be fixed prior to college review.
- Collegial communication with other academic units missing (if needed).
Checklist
- The rationale clearly explains all changes and why they are being made.
- Required fields are completed as expected and include collegial communication.
- Proposals follow ACC-approved policy where appropriate.
- Course details (title, description, prerequisites, schedule type, etc.) are clear and accurate.
- Syllabus is reasonably complete and includes all requirements according to the policy on credit hours and syllabus requirements policy.
- Regular and Substantive Interaction (RSI) requirements have been met, particularly for courses that are seeking an alternate modality.
- New GUR Course Only: GUR Course Information section is completed and required comments/rationale are clearly articulated.
Common Mistakes
- Prerequisites
- Prerequisites field may include courses that are prerequisites of courses also listed.
- "Prerequisites with concurrency" field is filled out but is missing from the "Prerequisites" field. This field appears in the University Catalog and Browse Classes.
- "Co-requisites" field is filled out but is missing from the "Prerequisites" field. This field appears in the University Catalog and Browse Classes.
- Collegial communication with other academic units missing in instances where a prerequisite is a course outside the department proposing the new course.
- If a course is repeatable, the repeatability isn't mentioned in the course description per ACC repeatability policy.
- If requesting online and/or hybrid modalities, additional syllabi and required attachments (as required by respective college modality policy) aren't attached to proposal under the "files" tab.
- If the new course will be equivalent (crosslisted), the Crosslisting function wasn’t used to create a duplicate proposal to create a primary and secondary proposal. It’s best practice to use Crosslisting so that the course data is identical and both proposals move through the workflow at the same time to ACC.
- New GUR Courses Only: GUR Rosette image is missing in attached syllabi.
Checklist
- The rationale clearly explains all changes and why they are being made.
- The rationale matches the appropriate revision boxes selected.
- Required fields are completed as expected.
- All revisions are clearly made in the proposal when in User Tracking/Show Current with Markup View mode. Revisions must be in line with what was checked under “Please check all that will be changed” and included in the rationale.
- Impact report is completed (required in proposals if the revision is to credits).
- Attached syllabus (required if a change in credit hours or significant change in course content) is reasonably complete and includes all requirements according to the policy on credit hours and syllabus requirements policy.
- Proposals follow ACC-approved policy where appropriate.
Common Mistakes
- All boxes aren't checked in the "Please check all that will be changed" section.
- Revisions that align with checked boxes when in "Show Current with Markup" mode are missing.
- Collegial communication with other academic units is missing in instances where a prerequisite is a course outside the department proposing the new course.
- Impact report copy/paste when the course credits are being revised is missing.
- If the course is equivalent ("also offered as" in the course description) and the Crosslisting function wasn't used to create a duplicate proposal, then both courses may not be revised. It’s best practice to use the Crosslisting function so both courses are revised and move through the approval workflow at the same time.
Checklist
- The rationale clearly explains why the course is proposed to be cancelled.
- Collegial communication is completed and all communication with colleagues outside of the proposing department is documented.
- Impact report is completed. This is required for all course cancellation proposals.
Common Mistakes
- Impact report copy/paste is missing.
Checklist
- The new permanent/temporary modality and quarter to begin are selected.
- The rationale for proposed new modality is clearly articulated.
- Required fields are completed as expected.
- Impacted departments have been notified, if applicable. This is not required by ACC but is a courtesy.
- The respective college modality policy form is attached to the proposal. Most college modality policies require this for approval to ACC.
- Proposals follow ACC-approved policy where appropriate.
- Syllabus is reasonably complete and includes all requirements according to the policy on credit hours and syllabus requirements policy. Note that two or more syllabi are required for each modality request. For example, if the course is currently face-to-face then the current face-to-face syllabi must be attached in addition to the syllabi in the requested new modality.
- Regular and Substantive Interaction (RSI) requirements have been met for courses that are seeking an alternate modality.
Common Mistakes
- The "What quarter will the modality begin" selection is wrong. The rationale may have mentioned a different start term.
- A required syllabus for each new modality requested is required is missing.
GUR New Course Checklist
- If the course has prerequisites, review the rationale for prerequisites since GURs should be accessible to all students.
- GUR Course Information section is completed (GUR attribute and literacies) and required comments/rationale are clearly articulated.
- Attached syllabus includes a statement of how it identifies as the proposed GUR attribute.
- GUR rosette image is included in the attached syllabus.

GUR Course Revision Checklist
- If the course is adding/removing prerequisites, review the rationale for prerequisites since GURs should be accessible to all students.
- If the course is changing GUR attribute, review the rationale to make sure the course is in line with the GUR attribute description.
- Attached syllabus includes a statement of how it identifies as the proposed GUR attribute and the rosette image.
- Make sure a syllabus is attached with the following exceptions: revision to prerequisite, course title, or other minor revisions.

GUR Course Cancellation Checklist

Checklist
- The rationale clearly explains why the new program is being proposed. Documentation for the need for the new program may be required.
- Required fields are completed as expected, including questions about WWU campus location, teacher certification, etc.
- Proposals follow ACC-approved policy where appropriate.
- Collegial communication and related attached documents are reviewed.
- Declaration and admission requirements are clearly articulated and meet standards set by the department, college, and/or University.
- Program requirements are proposed clearly, follow a clear pathway, and align with the required total credits.
- Accreditation section is completed and required spreadsheet is attached.
- Learning outcomes field is completed.
- Check for additional information that may assist with required Provost approval.
Common Mistakes
- Total credits don't align with program requirements.
- How to Declare section doesn't include detailed information and/or an online submission process.
- Credits for new courses aren't listed in the "New courses" field. This information helps to know the total credits.
- Collegial communication with other academic units missing. A common example is if a program requirement is a course outside the department proposing the new program.
Checklist
- The rationale clearly explains all changes and why they are being made.
- Required fields are completed as expected.
- Proposals follow ACC-approved policy where appropriate.
- If needed, all revisions to the catalog description (total credits and/or how to declare) are clearly made in the proposal when in User Tracking/Show Current with Markup View mode and are included in the rationale.
- If needed, all program requirement revisions appear as expected when select Preview Curriculum and Show Curriculum Preview with Markup mode (red pencil) and included in the rationale.
- Learning outcomes field is completed.
Common Mistakes
- If the program is a combined major, the other participating department is not added to the Academic Department field prior to proposal launch. When this occurs, not all required participants appear in the approval workflow.
- A revision of the total credits is either inaccurate or there is no change to the total credits even though revisions in the program requirements indicate there should be a change to the total credits.
- The rationale mentions changes to the program requirements, but they do not appear when selecting Preview Curriculum and Show Curriculum Preview with Markup (red pencil).
- Program requirements are moved up/down within the same core in the View Curriculum Schema instead of being deleted and re-added to the proposal in the new location. When this occurs, the courses don't appear in the markup mode "green" color.
Checklist
- Rationale is clearly articulated regarding why the program should go into moratorium or be cancelled.
- Collegial communication is documented.
- If needed, impacts are documented.
